Outbound capacity calculator

How many meetings your infrastructure will carry in a month — and how many domains, mailboxes, LinkedIn accounts and SDRs it takes to reach the number you want.

Counts both ways. People and messages are counted separately: someone worked on both email and LinkedIn is one person, not two.

Email infrastructure

channel 1
Benchmark is 2 per domain. More than that means a burnt domain takes more mailboxes down with it.
The safe corridor is 20–35.
How many emails one contact receives.

LinkedIn

channel 2
Safe up to 20–25. One invite = one person.
How many touches someone gets after accepting.
20% on a cold list; higher with a warm profile and shared connections.
Realistically 10–15%. Not to be confused with the share of the whole list.

Channel overlap

the same people
The share of the smaller channel that is worked on both email and LinkedIn. 100% means LinkedIn runs on the same people, so total prospects equal the larger channel exactly. 0% means two independent lists.
Shared people are counted once, both in the list and in positive replies. Two touches raise the chance of a reply; they do not duplicate the person.

Email funnel

conversions
Above 3% is a signal to stop.
2026 market: 1.5% is normal, 3%+ is good.
20% of all replies = 0.3% of the list.
How many positives actually become a slot in the calendar.
With a reminder and a confirmation the day before, 85–90%. Without them it drops to 70%.
Used to work out cost per client.

Team

the constraint
The people handling the threads and replies.
Including taxes and bonus.
The workable rate: read, answer, carry it to a booked slot. 150–250.
How many mailboxes one person keeps under control.

Money

monthly budget
Zapmail: $39 for 10 plus $3.50 for each after. Maildoso is cheaper at volume.
A variable cost: Freckle $0.052 per email found plus $0.002 verification. LinkedIn prospects are not counted here.
HeyReach charges per sender, $79. The profile can be your own; the seat in the system still costs money. Sales Navigator adds $120.
The fixed part, which does not grow with volume: Apollo $65 + Apify $29 + Instantly $97. LinkedIn is counted separately, per sender.
On top of SDR salaries. At small volumes the founder usually runs the channel, so this is 0.

The funnel over a month

People and messages are counted separately. Someone worked on both channels appears once in the prospect list but receives both the emails and the invites.

Ramping to capacity

New mailboxes do not run at full rate on day one. Add the lag: a contact gets the last email of the sequence weeks after the first, and only then does the funnel pay out in full.

Sensitivity to conversion rates

Meetings a month at different reply and positive rates. Shows where the lever is stronger: in the list and the message (left to right) or in the offer itself (top to bottom).
